Job Description:

Asylum Arts is working with Repair the World on an artist retreat and professional development program for July 29 - August 1, 2018 in Detroit. The mission for this retreat is to build a community of Jewish artists to work as agents of social change, grounded in Jewish wisdom and values. The Production Coordinator will be needed from 7am to 10pm during the four days of the retreat, with two full-time prep days on the previous week. Must be available via email/Skype from March 2018 up to the week of the retreat, approx. 2 hours per week. There will be an Asylum Arts staff person during the retreat as part of the logistics team.

Responsibilities include:

  • Food and housing logistics arranged and secured
  • Attention to food allergies and diets
  • Lunch and dinner arrangements
  • Purchasing and arrangement of snacks & drinks for in-between meals
  • Checking in on housing accommodations- making sure rooms look welcoming, are well presented, etc.
  • Transportation arrangements to/from housing and all local sites
  • Facilitating carpool and travel arrangements for artists’ arrivals
  • Workshop materials compiled and printed: Including Artist Bio Book, speaker materials, schedules, culture boxes, swag, etc.
  • Liaising with local sites and speakers
  • Running retreat production schedule, including assisting facilitation team and working collaboratively with organizational partners.
  • Setting up spaces and materials for sessions

Preferred Skills:

The ideal Production Coordinator has a professional background with 4+ years experience that includes event planning and program management, ideally within a non-profit or cultural context. The successful candidate is highly organized and loves small details. Familiarity with the social justice and/or arts community, and being a proactive and creative problem solver would also be assets for this position. Ability to lift up to 20 lbs.
