Who we’re looking for:

The Arts Administration Assistant has a strong interest in a career in Arts Administration, a background in classical music, is extremely organized and detail oriented.  This individual will engage with many clients and artists and must have exceptional communication skills.  In addition, an aptitude for numbers is essential to support budgeting and bookkeeping tasks. The ideal candidate will have the ability to learn and execute a variety of activities essential to managing a performing art non-profit. 

Job Responsibilities – will vary based on customer demands


-Track and report on marketing activities for clients and partners

-Manage subscriber communications and ticketing

-Assist with social media postings, website updates and email blasts

-Support advertising administrative tasks

-Execute audience development initiatives


-Support various guest artist concert series: artist communication & coordination with venue.

-Support Contracted gigs: artist hiring, coordination with venue, assistance with music distribution if needed.

-Contribute to concert operations: carrying out hiring plans, organizing and distributing music, attending rehearsals and overseeing concert flow, managing artist hospitality/greenrooms.

-Assistance with client concert series including artist coordination and hospitality (making hotel/car reservations, coordinating greenroom items, assisting artists at the concert, coordinating instrument rentals)

-Assistance with summer festival artist coordination, hospitality, host homes, music distribution, venue communication, rentals, attending rehearsals and concerts

-Support fund raising events and other patron engagement events


-Assist with Ticket Sales

-Answer Phones as needed

-Database entries and maintenance

-Other Administrative tasks as requested

FINANCE – About 15 hours per week

-Enter financial transactions into the organization’s financial system;

-With Controller, prepare reports as requested by staff and boards;

-Assist Controller with audit preparation;

-Assist in oversight of accounts receivable, accounts payables, receipts and disbursements;

-Reconcile all bank accounts on a monthly basis;

-Assist in other data entry and reporting functions;

-Enter & submit payroll bi-weekly through ADP.

This is a 40 hour per week position, requiring occasional nights and weekend concert coverage (schedule set with staff and successful candidate upon hire)
